Administrative Assistant


Job Summary: We are looking for a detail-oriented Administrative Assistant to support our Accounts Payable and Accounts Receivable functions. The successful candidate will play a crucial role in ensuring accurate financial transactions, timely processing of invoices, and effective management of receivables.

Key Responsibilities:

Accounts Payable:

  • Process incoming invoices and verify accuracy against purchase orders and receipts.
  • Assist in preparing payment runs and ensure timely payments to vendors.
  • Maintain organized records of accounts payable transactions.
  • Support Accounts Payable Manager

Accounts Receivable:

  • Maintain organized records of accounts receivable transactions.
  • Respond to customer inquiries.
  • Maintain organized filing systems for accounts receivable transactions.
  • Support Account Receivable Manager

General Administrative Support:

  • Back up to receptionist: answering incoming calls and processing credit card/cash transactions.
  • Supporting Office Manager and the sales office with various tasks.

Qualifications:

  • Education: High school diploma or equivalent
  • Experience: Previous experience in an administrative role with a focus on accounts payable and receivable preferred, but not required.
  • Skills:
    • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
    • Strong organizational skills and attention to detail.
    • Excellent verbal and written communication skills.
    • Ability to multitask and prioritize effectively
