Administrative Assistant
Job Summary: We are looking for a detail-oriented Administrative Assistant to support our Accounts Payable and Accounts Receivable functions. The successful candidate will play a crucial role in ensuring accurate financial transactions, timely processing of invoices, and effective management of receivables.
Key Responsibilities:
Accounts Payable:
- Process incoming invoices and verify accuracy against purchase orders and receipts.
- Assist in preparing payment runs and ensure timely payments to vendors.
- Maintain organized records of accounts payable transactions.
- Support Accounts Payable Manager
Accounts Receivable:
- Maintain organized records of accounts receivable transactions.
- Respond to customer inquiries.
- Maintain organized filing systems for accounts receivable transactions.
- Support Account Receivable Manager
General Administrative Support:
- Back up to receptionist: answering incoming calls and processing credit card/cash transactions.
- Supporting Office Manager and the sales office with various tasks.
Qualifications:
- Education: High school diploma or equivalent
- Experience: Previous experience in an administrative role with a focus on accounts payable and receivable preferred, but not required.
- Skills:
- Proficient in Microsoft Office Suite (Excel, Word, Outlook).
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to multitask and prioritize effectively
